Terms of Service

These terms govern use of BoatLog, a digital boat sign-out book for rowing clubs operated by Civil Digital at app.boatlog.civildigital.co.uk. By creating a club or signing in, you agree to them. If you are agreeing on behalf of a club, you confirm you are authorised to do so.

BoatLog is a record-keeping tool, not a safety system

BoatLog records what a club logs. It does not monitor the water, detect danger, summon help, or guarantee that anyone is where a record says they are.

Overdue alerts, safety flags and who's-on-the-water views are conveniences built on what people entered. They can be absent, wrong or delayed — because a sign-out was never recorded, because it was recorded incorrectly, because a device was offline, or because a notification did not arrive. Never rely on BoatLog to tell you that everyone is safe. Your club's own safety procedures, supervision and emergency arrangements remain entirely your club's responsibility, and nothing in BoatLog replaces them.

Accounts and roles

Members join a club with an invite code from a club administrator. Roles — such as captain, coach, safety officer or administrator — are granted by the club and determine what each person can do. Keep your sign-in details to yourself.

Kiosk PINs are a low-assurance convenience for a shared tablet in a club's own premises. They identify who is signing a boat out; they are not a secure credential and never grant access to member records, billing or club settings. Treat the boathouse tablet as a shared device.

Your club's responsibilities

  • Keeping member records accurate, and removing people who have left. Your club is the data controller for everything it enters — see our Privacy Policy.
  • Obtaining any consent it needs from members, and from parents or guardians of members under 18, before recording their information.
  • Deciding who holds which role, and reviewing that as people come and go.
  • Its own safety procedures, risk assessments and safeguarding obligations.

Subscriptions, trials and pricing

New clubs get a 14-day free trial of the full service. Plans are billed monthly per club, and prices include VAT (D-39). Every tier has the full feature set — tiers differ only by how many people your club has:

  • Tier 1 — £20 a month, up to 50 people.
  • Tier 2 — £50 a month, up to 150 people.
  • Tier 3 — £80 a month, unlimited people.

The count is everyone active in your club, not just rowing members. If you reach your tier's cap, existing members carry on as normal — sign-outs, bookings and repairs are unaffected — but no new people can be added until you move up a tier.

Self-serve card checkout is not yet available. To start or change a subscription, write to info@civildigital.co.uk and we will arrange it. Payments are processed by Stripe; Civil Digital never receives your card details.

If your subscription ends

If your club stops subscribing, BoatLog access is paused and your club's data is permanently deleted 28 days later. That includes boats, outings, bookings, damage reports and safety records.

During those 28 days:

  • Nobody can sign a boat out or in, book, or report damage — the club's day-to-day use of BoatLog stops.
  • An administrator can still export everything. We keep that one route open for the whole period, deliberately, so no club can lose its safety history without a way to take a copy first.
  • Resubscribing at any point stops the clock and restores everything — nothing is deleted in the meantime.

We email your club's administrators when the pause begins and again as the deadline approaches. After 28 days the deletion is permanent and we cannot recover the data, so please export before then if there is any chance you will want it.

Acceptable use

You agree not to:

  • Use BoatLog to store information about people who are not connected to your club.
  • Attempt to access another club's data, or to circumvent the role restrictions in the app.
  • Interfere with the service, or use it in a way that degrades it for other clubs.
  • Use it unlawfully, or to harass anyone.

RowSocial

RowSocial is your club's own news feed, where members can post text and photographs, comment and react. It is included in every paid plan and is not part of the 14-day free trial, and your club's committee can switch it off for the whole club at any time. No member takes part until they have agreed to its terms in the app; a member under 18 needs a separate consent from their parent or guardian.

What must not be posted. You agree not to post anything that is unlawful, abusive, harassing, discriminatory, threatening, sexually explicit, or that bullies or demeans another person; anything that puts a young person at risk; anyone else's personal information without a good reason to share it; or content you do not have the right to post.

Photographs of other people. If you post a photograph, you are responsible for it. Photographs taken at the club, at events and on the water will often include other members, including young people. Post them considerately, and take one down when you are asked to. Anyone who appears in a photograph — or the parent or guardian of a young person who does — can ask for it to be removed, either by reporting it in the app or by asking the club. Your club is the controller of this content and decides these requests; we provide the tools.

Moderation, and what happens if you break these rules. Posts are moderated after they appear, not before — nothing is approved in advance. Any member can report a post or comment, and content reported by several members is hidden automatically until a moderator has reviewed it. Your club's committee, captain and admins can hide a post, remove it, lock its comments, and — for repeated or serious breaches — remove a member's access to RowSocial. Removing RowSocial access does not affect the rest of that member's BoatLog account.

Removal is real. When a post is removed, its text and photographs are deleted. A record that it existed and was removed, by whom and why, is kept for the club's audit trail.

Availability and support

BoatLog is designed to keep working offline, and syncs when a connection returns. We aim to keep the service available but do not guarantee uninterrupted operation, and we may take it down for maintenance.

Support is by email to info@civildigital.co.uk, answered on a best-effort basis during UK working days. There is no guaranteed response time.

Your data, and getting it out

Your club's data remains your club's. An administrator can export it from the app at any time — including throughout the 28-day period after a subscription ends, as described above. If a club closes its account, we will delete its data on request, subject to any records we must keep by law.

Liability

BoatLog is provided as described in these terms. To the extent permitted by law, we exclude implied warranties, and we are not liable for indirect or consequential loss, for loss arising from data your club entered incorrectly or failed to enter, or for any outcome of relying on BoatLog as a safety system rather than a record-keeping tool. Our total liability in any 12-month period is limited to the subscription fees paid by your club in that period.

Nothing here limits liability that cannot lawfully be limited, including for death or personal injury caused by negligence, or for fraud.

Changes and governing law

We may update these terms as the service changes; the date at the top will change with them, and material changes will be notified to club administrators. These terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
